Position Summary
The Account Coordinator / K12 Recruiter is responsible for supporting and managing virtual special education providers and school partnerships across multiple virtual school programs. This role serves as a key point of contact for therapists and school teams, ensuring providers are successfully recruited, onboarded, trained, supported, and compliant with school and state requirements.
The ideal candidate is highly organized, responsive, detail-oriented, and comfortable managing multiple priorities in a fast-paced education environment.
Key Responsibilities
Provider Recruitment & Onboarding
- Recruit virtual special education providers through phone calls, emails, and outreach efforts
- Explain company processes, pay structure, expectations, and service requirements to candidates
- Manage onboarding from start to finish in collaboration with credentialing teams
- Understand and track state-specific credentialing requirements and required documentation
- Follow up consistently on missing paperwork, background checks, licenses, and onboarding items until completed
- Send school-specific welcome materials, manuals, and onboarding packets to providers
Therapist Support & Communication
- Serve as a primary point of contact for therapists regarding scheduling, billing, school procedures, and service-related questions
- Manage a high-volume shared inbox while balancing multiple priorities and urgent requests
- Help providers navigate school-specific policies, including billing procedures, cancellations/no-shows, documentation expectations, and service requirements
- Relay important school updates, procedural changes, and compliance expectations to providers in a timely manner
- Coordinate substitute coverage and support for IEP meetings when needed
Caseload & School Coordination
- Maintain knowledge of virtual therapy services, special education processes, therapist roles, and caseload management
- Coordinate referrals and therapist assignments based on availability, licensure, and skillset
- Respond to school requests with urgency, professionalism, and strong follow-through
- Participate in client and school meetings as needed to support staffing and service delivery
Training & Billing Support
- Train new therapists on internal systems, billing procedures, SOAP note expectations, and school-specific workflows
- Review weekly billing submissions for accuracy and completeness
- Identify billing discrepancies and collaborate with therapists and schools to resolve issues promptly
- Support providers in maintaining compliance with documentation and billing expectations
Qualifications
- Experience working in education, special education, healthcare staffing, or virtual service coordination preferred
- Knowledge of special education services and therapist roles (SLP, OT, PT, School Psychologist, etc.)
- Strong organizational skills with the ability to multitask and prioritize effectively
- Excellent written and verbal communication skills
- Ability to work independently while managing competing deadlines
- Comfortable working in fast-paced, high-volume environments
- Proficiency with Microsoft Office, Google Workspace, and virtual communication platforms
- Experience with virtual schools or teletherapy services preferred

- Strong problem-solving and customer service skills
- Attention to detail and follow-through
- Ability to build positive relationships with therapists and school partners
- Experience managing onboarding, credentialing, or staffing processes
- Understanding of billing practices and documentation compliance within school-based services
Work Environment
- Remote or hybrid work environment (NY office)
- Frequent communication with therapists, school administrators, and internal teams
- Fast-paced environment requiring flexibility, responsiveness, and strong time management
- Availability to work 9am-5:30/6pm schedule within a team environment
